1. Membership Options and Payments

We offer the following membership plans:

• Unlimited Membership: £125 per month

• Flex Membership: £85 per month (9 sessions per month)

• Couples Membership: £210 per month (must live at the same address)

Payment Terms:

• All membership fees are collected monthly via Direct Debit or card payment on the same date each month.

• Memberships renew automatically unless cancelled with appropriate notice.

• Any missed or failed payments may result in suspension of membership until resolved.

2. Membership Commitment and Cancellation

• All memberships require a minimum commitment of three months from the date of joining.

• To cancel a membership, you must provide one month’s written notice to olivia@physicalformula.com.

• The final payment will cover the notice period, after which the membership will be terminated.

3. Pause Policy

• Membership pauses are permitted for a minimum of three months.

• Pauses must be requested in writing with at least one month’s notice to olivia@physicalformula.com.

• Paused memberships cannot be reinstated on a pro-rata basis and will resume on the agreed return date.

4. WhatsApp Group and Community Rules

As a valued member, you may be invited to join the official Physical Formula WhatsApp group. Participation is subject to the following rules:

1. Privacy and Consent:

• Members must not create separate groups using contact information obtained from the main group.

• Members are prohibited from sharing personal contact details or contacting others directly without explicit consent.

2. Purpose of the Group:

• The WhatsApp group is designed to celebrate member achievements, foster motivation, and build a positive community.

3. No Advertising or Promotions:

• Any form of advertising, selling, or self-promotion is strictly prohibited without prior authorisation.

4. Respect and Confidentiality:

• All interactions must remain respectful and confidential. Group discussions and shared content should not be disclosed externally without permission.

5. Posting Etiquette:

• Please post only between 7:00 AM and 10:00 PM.

Physical Formula reserves the right to remove members from the WhatsApp group for any breaches of these rules without prior consent.

5. Health and Safety Disclaimer

By signing this agreement, you acknowledge the following:

• Participating in classes, using gym equipment, and engaging in physical activities carry inherent risks, including the risk of injury or death.

• You are responsible for consulting a medical professional if you have any pre-existing conditions or health concerns.

• Physical Formula Ltd is not liable for injuries, damages, or losses sustained during participation unless caused by proven negligence.

• Personal belongings brought to the facility are at your own risk.

6. Data Protection

Physical Formula Ltd is committed to protecting your personal information in line with data protection laws. We will:

• Store and process your personal data securely and lawfully.

• Keep your data confidential and only share it with authorised parties with your consent.

• Use your data only for managing your membership, contacting you about services, and improving our offerings.

7. Video and Photo Consent

By signing this agreement, you grant Physical Formula permission to use photos, videos, and recordings of you for marketing, educational, and promotional purposes, including:

• Social media posts

• Website content

• Advertising campaigns

You waive the right to inspect or approve final materials and understand no compensation will be provided.

8. Liability Waiver

By signing this agreement, you agree to the following:

• You assume full responsibility for any risks associated with participation in classes or use of equipment.

• You release Physical Formula Ltd and its trainers from all liability except in cases of proven negligence.

9. Amendments to Terms

Physical Formula Ltd reserves the right to amend these terms and conditions at any time. Members will be notified of any changes at least 30 days in advance.
